Flow State for Teams
Flow State turns your team’s projects, meetings and handoffs into clear owners and dates, then brings each one back to you when it’s done. Less chasing. Fewer check-ins. Nothing quietly dropped.

Projects
Describe the project and Flow State asks the questions that matter, then lays out each step with an owner, a time estimate, a date and what it depends on. Review it on a timeline before anything is saved.
Where team work goes missing
“Who’s taking that?”
The meeting ends with nods instead of names. A week later, nobody remembers who said yes.
“I thought you had it.”
A handoff without a clear result, a date or a reason turns into rework, or into nothing.
“Any update on…?”
You chase status in chat and in check-ins because the only list of who owes what lives in your head.
How it works
Every teammate keeps their own Flow State list. What changes is how work moves between those lists: with clarity going in and a signal coming back.
Meetings
Flow State drafts the recap with action items, decisions, and open questions. You review it and send it to the attendees. Teammates on Flow State get the actions assigned to them, ready to accept into their own list.

Handoffs
When you assign a task, Flow State asks what success looks like, by when, why it matters and where to find context. It lands on your teammate’s list and stays on yours as Waiting For. When they finish, your copy checks itself off.
Let’s add the clarity to make sure this goes well.

Weekly planning
In Plan My Week, Flow State sorts your work by impact and by how easily someone else could take it. Everything in Delegate becomes a Clean Handoff card: assign it in Flow State, send an email, or draft a message.

Follow-through
Your Waiting For list shows where every handoff stands. Anything that has gone quiet comes back in your weekly review, so you can follow up before it’s late.
3 commitments you’ve been carrying
Built for trust
Each person’s list stays their own. Teammates see what is assigned to them and you see the status of what you handed off. Nobody can browse anyone else’s list.
Lists, priorities and notes belong to each person. Sharing happens one task or one recap at a time.
Recaps, emails and handoffs wait for your review. Flow State never sends on your behalf without it.
Each person can export their data as JSON or CSV, or delete their account, from Settings.
Pricing
Each teammate gets their own Flow State seat: their own list, coach and weekly planning, plus team assignment and shared recaps.

Yes. Each person signs up for Flow State, then an owner or admin adds them by email in Settings → Organization. Each person has their own seat.
No, and that’s on purpose. Each person’s list stays private. You see the status of what you assigned and the actions from recaps you sent, and that’s it.
No. Most teams start with one habit, usually meeting recaps or handoffs, and add the rest when it’s helping. Jack will help you pick the right first step.
Gmail and Outlook, Google Calendar and Outlook Calendar, and Claude and ChatGPT through the Flow State connector. Meeting recaps use the Flow State Mac app. There is no Slack or Microsoft Teams integration yet.
